In a previous article, we talked about some great benefits of using Labels in Gmail to organize your incoming messages, and to store important messages in an easy-to-find folder-style system. If Labels are new to you, here is the important thing: Labels are similar to the folder system that’s used on the hard disk of personal computers to store digital information. Both Windows and Mac utilize the folder concept. In Gmail, the Label system helps you store and sort incoming e-mail messages. You can either move individual messages to its own Label (think “folder”), or have the Gmail system automatically move messages to their specified Label for you. Continue reading to learn how.
Why should you use Labels in Gmail? If you’re a businessperson who uses Gmail as your everyday e-mail client, you are able to separate e-mails according to different projects, clients or some other categories. For private use, Labels could be used to organize e-mail messages from friends, family yet others, or other important things you need to remember. As you start to use the Label feature in Gmail, you’ll find your very own uses for it. Needless to say, probably the most powerful features of gmail label tools is it never completely deletes any e-mail message (except if you tell it to). All e-mail messages are held in the “All Mail” Label, and are available having a simple, Google-like search function – but that’s another article for an additional day.
To gain access to the Label function, search for the little gear-like icon at the top-right corner of your Gmail inbox page. Give that a single left-click as well as a small menu will open. Another left-click on the first item that says “Mail Settings,” and you’re on the Settings page. On that page, you’ll see a lot of text links across the top: General, Accounts, Filters and more, including Labels. Click on the Labels link to attend that page.
One thing you’ll see are the built-in, standard-equipment Labels that come with all Gmail accounts: Inbox, Starred, Chats, Sent Mail, Drafts, All Mail, Spam and Trash. Those are the “standard” Labels the thing is on the left-side column from the Gmail mail page. You can click on the “Show” or “Hide” links off to the right of every Label to perform just that – show or hide the web link on the main Gmail page, however, you cannot delete or change them in any other way – they’re hard-wired to the Gmail system.
Beneath the standard Labels, you’ll visit a divider line, then your word “Labels” as well as a text-input box to “Create a New Label.” Should you haven’t created any labels yet, there won’t be anything listed under this box. When you create and manage new Labels, those Labels is going to be indexed in alphabetical order down the page. As you create new Labels, you’ll have the capacity to show or hide uzrykq too, or delete the Label entirely. It’s important to note, that even though you delete a Label, the messages which were kept in that Labels folder is definitely not deleted. The messages is still “findable” by searching using your entire e-mail database.
After you have labels setup, you’ll see them placed in the left-hand column on the Gmail inbox page – right beneath the “standard” labels including Inbox, Drafts, Spam, Sent Mail and some others. Remember, while we said in the earlier article, that one could choose to either “hide” or “show” the label by yourself Gmail page, so be certain you’ve chosen to demonstrate the ones you will need to see.
So – you’ve got e-mail messages arriving to your Gmail inbox, and labels you want to put some of those message into…now what? First, let’s talk about “manually” moving some of the incoming messages. Remember, labels are just like the “folders” that can be found in other e-mail systems and even on the hard disk of the computer. It’s just another term for the storage system. With that in mind, here’s how you can move messages: Obviously you’ve probably notices, that as new messages get to your Gmail inbox, the unread ones are shown in bold text. Once you’ve read them, they show up in normal text. Each message appears within the Gmail inbox as a separate collection of text, showing (reading from left-to-right over the message) the sender, the subject line and the date or time the content arrived in your inbox.
But when you look closely, you’ll see three more items on each message line, in the very left of the text. Starting at the very left is – for absence of a far more technical term – a team of eight little spots or dots. They search almost like perforations on the webpage. They’re designed to represent a location you can “grab” your message and move it. And through grab, we mean simply click it with your mouse (left mouse button for you PC folks out there). Once “grabbed” it is possible to drag your message up to any one of the labels displayed on the left side in the window, including both built-in Gmail labels, or any label you’ve created yourself. As you click on those little dots, you’ll view the mouse pointer turn into a small hand icon, and as you drag, you’ll visit a small box saying “Move 1 conversation.” Remember, Gmail calls e-mail messages “conversations” because as you reply back and fourth with all the sender of the original e-mail, all of the individual messages are “stacked up” on top of each other inside an ongoing “conversation.” As soon as you obtain the box over one of the labels (the line of text in this left column), simply release the mouse button, and the conversation will likely be relocated to that label.
